Creating a Group Booking

Group bookings allow you to schedule appointments attended by multiple clients. Depending on your requirements, you can create either:

• A one-off group booking for a single class, workshop or session.
• A recurring group booking for sessions that repeat on a regular schedule.

Once created, you can add attendees, create invoices, record payments, write group notes and manage communications for each booking.

Before you begin

Before creating a group booking, ensure that:

• A Group Appointment Type has been created.
• The appointment type has been configured with the settings you require, such as capacity, online booking or payments.

Create a one-off group booking

1. Open the WriteUpp Calendar.
2. Select a free slot at date and time for the booking.
3. The New Appointment modal will open.
4. Select the Group tab at the top of the modal
5. Choose the Group Type.
6. Complete the details, including the clinician and location, if required.
7. Leave Recurring as 'None'.
   
8. Select Save.

Your group booking will now appear in the calendar, ready for attendees to be added.

Create a recurring group booking

If your group session repeats on a regular schedule, you can create a recurring series of bookings.

1. Follow steps 1–6 above.
2. Locate the Recurring dropdown in the modal.
3. Choose the required recurrence pattern, such as daily, weekly or monthly.
   
4. Specify when the series should end by selecting an end date.
   
5. Select Save.

Each occurrence is created as an individual group booking within the series.

Recurring group bookings can be managed in the same way as one-off group bookings. This allows you to make changes to an individual session without affecting the rest of the series.

What happens next?

After creating your group booking, you can:

• Add and manage attendees.
• Create invoices and record payments.
• Write shared group notes.
• Edit or cancel the booking as required.
