# How to Change an Appointment in the Client Portal

If your clinic has enabled online appointment changes, you can reschedule your appointment directly through the Client Portal without needing to contact the practice.

You can select a new available date and time based on the clinic’s availability settings.

### **Accessing the Client Portal**

##### **Appointment-specific access**

To access the Client Portal, you must first authenticate yourself using the **Manage Appointment** link. This link may be included in your appointment confirmation email or SMS, for example, and allows you to manage that specific appointment only.

##### **Full Client Portal Access**

Alternatively, if your clinic has provided a full Client Portal link, you can use this to request a magic access link by entering your email address or mobile number. Once received, use the magic link sent to your inbox to authenticate yourself and view all eligible appointments linked to your account.

### **How to change your appointment**

1. Access the Client Portal using the magic link
2. Authenticate your user using your **Date of Birth** and **Postcode

3. Under **Upcoming Appointments**, click **View** for the appointment you would like to cancel.

   **Important**: if you are accessing the Client Portal via a magic link in an appointment confirmation, you will only have access to the related appointment. In this case, you will see at the top that you are only authenticated for that specific appointment:

4. Alternatively, click **View all appointments**, and locate the appointment under **Future Appointments**   
   *Note: To view all appointments, you must be logged into the full version of the Client Portal. Please contact your clinic if you require full  access to your appointments

5. Click **Edit Appointment

6. You will then be taken to a calendar screen where you can select a new date and view the available appointment times for that day

7. Select the new time
8. A confirmation window will appear. Enter an optional message for the clinician if required, then click **Update Appointment** to confirm the change

Your appointment will then be updated and you may receive an updated confirmation email or SMS from the clinic.

If you cannot see an option to change the appointment, this means the appointment is no longer eligible for online changes. You will need to contact the clinic directly if you wish to change your appointment. 

#### **Optional message to your clinician**

When changing an appointment, you have the option to leave a message for the clinic or clinician.

For example, you may wish to explain why you are rescheduling or provide additional information.

If provided, this message will be sent directly to the practice.

#### **What can be changed**

Through the Client Portal, you can change:

- The appointment date
- The appointment time

#### **What cannot be changed**

The following details cannot be changed through the Client Portal:

- Clinician
- Location
- Appointment type

If you need to change any of these details, please contact the clinic directly.

#### **Appointment change restrictions**

Some practices may disable online appointment changes within a certain timeframe before your appointment.

For example, the clinic may only allow appointment changes more than 24 or 48 hours before the appointment start time. In this case, you will need to contact the clinic directly to make changes.

The available dates and times shown in the portal are controlled by the clinic’s booking availability settings. If no suitable times are available, please contact the clinic directly.
