Importing Microsoft 365 events into your WriteUpp Calendar

You can import events from your connected Microsoft 365 calendar into WriteUpp. This helps keep your availability accurate when you use both calendars, preventing appointments from being booked at times when you already have another event.

Before you begin

You must connect your Microsoft 365 calendar to WriteUpp before you can import its events.

Enable calendar event imports

To import your Microsoft 365 events:

  1. Go to main menu → Integrations & Add Ons → Microsoft 365 → Configure in WriteUpp.

  2. Make sure your Microsoft 365 calendar is connected.
  3. Turn on the Import calendar events switch.

  4. Your Microsoft 365 events will begin appearing in your WriteUpp calendar.

Important: The initial import may take a short time to complete. You can check its progress using the sync status shown on the integration page.

How imported events appear

Events imported from Microsoft 365 appear in your WriteUpp calendar as non-client, read-only Unavailable slots.

Each slot displays:

  • The Microsoft 365 event title
  • An 'Unavailable' status
  • A message confirming it was Synced from M365 calendar

Imported events prevent the affected time from being offered when booking through:

  • The WriteUpp calendar 
  • Appointment search
  • Classic Online Booking
  • Online Booking 2.0

Please note that an event will be treated as unavailable in WriteUpp even if its Show As setting in Microsoft 365 is set to 'Free'.

Managing imported events

Microsoft 365 remains the source of imported events. This means they cannot be edited, moved or deleted from within your WriteUpp calendar.

To change or remove an imported event:

  1. Open the event in Microsoft 365.
  2. Make the required change or delete the event.
  3. The corresponding slot in WriteUpp will update or be removed automatically.

If a Microsoft 365 event overlaps an existing WriteUpp appointment, both will remain visible in the diary. The existing WriteUpp appointment will not be changed or removed.

Which events are imported?

When you enable the 'Import calendar events' setting, WriteUpp imports:

  • Events from the previous 30 days
  • Events scheduled within the next 12 months
  • Any new events created in Microsoft 365 after the sync is enabled

Checking the sync status

Your Microsoft 365 calendar integration settings show:

  • The current sync status
  • The date and time of the last successful sync
  • An option to reconnect Microsoft 365 if the connection fails

If the status shows as 'Failed', the last successful sync time will remain visible. Select Reconnect Microsoft 365 button and follow the instructions to restore the connection.

Turning off calendar event imports

To stop importing events, turn off the Import calendar events switch under main menu  → Integrations & Add ons → Microsoft 365.

This removes the imported unavailable slots from your WriteUpp calendar. It will not delete or change the original events in Microsoft 365.

If you turn the switch on again, eligible Microsoft 365 events will be imported back into your WriteUpp calendar.
