Using AI Scribe in a Document
If you have access to AI Scribe (either through a free trial or a paid licence), you can use it when creating a new document for a client in WriteUpp. It’s designed to help you quickly generate clear, structured clinical documentation, saving you time on admin.
AI Scribe can be used in two ways: Dictation or Encounter, depending on whether you're documenting after a session or during a live appointment.
Accessing AI Scribe
To use AI Scribe, the user must have a licence assigned (or a free trial). You can add AI Scribe licences to your subscription from the Account Details screen. You'll then need to assign them to users who require access (read more).
Each user receives a 4 hour free trial of AI Scribe, so you can try it out before committing! Click here to learn how to assign the free trial to users.
When creating a new document for a client, simply select the AI Scribe icon from the toolbar to get started.
IMPORTANT: Enabling AI Scribe will upgrade your site to Redactor 3, which is required to use the feature. In WriteUpp, the Redactor is the text editor used when creating notes and documents. There are currently two versions: Redactor 2 and Redactor 3.
You’ll need to allow access to your device’s microphone to record sessions using AI Scribe.
Dictate a Note (Post-Session)
Dictation is ideal for use outside of a session, allowing you to turn spoken input into a written document quickly.
To use Dictation when creating a new document:
- Go to Create → Document and select a template
- Click the AI Scribe icon in the toolbar
If this is your first time using AI Scribe in WriteUpp, you will need to accept the Terms of Service before continuing. - Select Dictate a Note

- Press the Record button and speak what you’d like to include in the document
- Press Stop & Generate when finished
- AI Scribe will transcribe your speech and lightly refine the wording
Once your content is generated, you can:
- Review the text in the AI Scribe modal
- Make any necessary edits
- Click Save and Finalise to insert it into your client document in WriteUpp

Tip: Need to write a letter to a client’s GP? Simply speak what you want to say, then review and tidy up the formatting afterwards.
Record Patient Encounter (Live Session)
Encounter is designed for use during a live session, capturing conversations in real time and generating structured documentation.
It can:
- Detect multiple speakers in a conversation
- Record throughout the session and generate content when stopped
- Structure notes using clinical templates
Available templates include:
- DAP
- BIRP
- SOAP
- Brief Progress Note
While Encounter is available in documents, it’s typically more suited to creating notes, as it captures full client sessions and formats them using clinical templates. That said, you may find it useful for documenting certain types of client interactions. We’d love to hear how you use it!
To use Encounter when creating a new document:
- Go to Create → Document and select a template
- Click the AI Scribe icon in the toolbar
If this is your first time using AI Scribe in WriteUpp, you will need to accept the Terms of Service before continuing. - Select Record Patient Encounter

- Choose a template

- Press the Record button at the start of the session
- Conduct your appointment as normal
- Press Stop & Generate when finished
- Wait for it to generate
- Read over it carefully and make any necessary edits
- Click Save and Finalise to insert your content into the document in WriteUpp

Note: It may take a few minutes after pressing stop for AI Scribe to process the recording and generate your document. Please wait for this to complete before navigating away.
