[Using AI Scribe](https://knowledge.writeupp.com/en/ai-scribe?hsLang=en#using-ai-scribe) July 1, 2026 # Using AI Scribe in a Document If you have access to **AI Scribe** (either through a free trial or a paid licence), you can use it when creating a new document for a client in WriteUpp. It’s designed to help you quickly generate clear, structured clinical documentation, saving you time on admin. AI Scribe can be used in two ways: **Dictation** or **Encounter**, depending on whether you're documenting after a session or during a live appointment. ### **Accessing AI Scribe** To use AI Scribe, the user must have a licence assigned (or a free trial). You can add AI Scribe licences to your subscription from the **Account Details** screen. You'll then need to assign them to users who require access ([read more](https://knowledge.writeupp.com/en/adding-ai-scribe-licences-to-your-subscription?hsLang=en)). Each user receives a **4 hour free trial** of AI Scribe, so you can try it out before committing! In WriteUpp, the Redactor is the text editor used when creating notes and documents. There are currently two versions: Redactor 2 and Redactor 3.*  You’ll need to allow access to your device’s microphone to record sessions using AI Scribe. ### **Dictate a Note (Post-Session)** **Dictation** is ideal for use outside of a session, allowing you to turn spoken input into a written document quickly. **To use Dictation when creating a new document:** 1. Go to Create → Document and select a template 2. Click the **AI Scribe icon** in the toolbar *If this is your first time using AI Scribe in WriteUpp, you will need to accept the Terms of Service before continuing.* 3. AI Scribe will then transcribe your speech and tidy it up a little **WARNING**: Do **not** navigate away from the document screen until the audio has been uploaded and fully transcribed. If you leave the screen before AI Scribe has finished transcribing and generating the content, it will be lost and may not be recoverable. 8. Once your content is generated, you can: \- Review the text in the AI Scribe modal \- Make any necessary edits 9. Simply speak what you want to say, then review and tidy up the formatting afterwards. ##### **Handy dictation voice commands:** | Spoken | Result | | --- | --- | | "period" | . | | "comma" | , | | "question mark" | ? | | "exclamation point" | ! | | "new line" | line break | | "new paragraph" | paragraph break | | "colon" | : | | "semicolon" | ; | | "open paran" | ( | | "close paren" | ) | | "two by three" | 2 x 3 (dimensions) | | "one to two hundred" | 1 : 200 (ratios) | ### **Record Patient Encounter (Live Session)** **Encounter** is designed for use during a live session, capturing conversations in real time and generating structured documentation. It can: - Detect multiple speakers in a conversation - Record throughout the session and generate content when stopped - Structure notes using clinical templates Available templates include: - DAP - BIRP - SOAP - Brief Progress Note While Encounter is available in documents, it’s typically more suited to creating notes, as it captures full client sessions and formats them using clinical templates. That said, you may find it useful for documenting certain types of client interactions. We’d love to hear how you use it! **To use Encounter when creating a new document:** 1. Go to Create → Document and select a template 2. Click the **AI Scribe icon** in the toolbar *If this is your first time using AI Scribe in WriteUpp, you will need to accept the Terms of Service before continuing.* 3. Conduct your appointment as normal 7. Wait for it to generate **WARNING:** Do **not** navigate away from the document screen until the audio has been uploaded, fully transcribed and a note generated. If you leave the screen before AI Scribe has finished transcribing and generating the content, it will be lost and may not be recoverable. 10. Read over the generated note carefully in the AI Scribe modal and make any necessary edits 11.
